Booking agreement

Formal agreement of terms and conditions for wedding and celebration venue hire at Wrekin Forest Events Ltd

Please read the following terms and conditions and complete the form below.

THE CONTRACT

  1. Your contract is with Wrekin Forest School and Events Ltd, Crudgington Moor Lane, Telford, Shropshire.
  2. In these terms, “venue” means the venue at Wrekin Forest School and Events Ltd where your wedding/reception/blessing/celebration is agreed to be held, “wedding/reception/blessing/celebration” also means (where applicable) a civil partnership, handfasting or celebration of any other kind such as a milestone birthday, baby naming ceremony/celebration/hen do or other do.
  3. WFE’ refers to Wrekin Forest School and Events ltd.

BOOKING AND PAYMENT TERMS

  1. An initial discussion should be had to establish the most appropriate package for your event.
  2. An initial non-refundable deposit of £500 will be required once your function date, details and approximate guest numbers have been agreed. Wrekin Forest Events will then confirm your booking and the date the balance of your account will be due. The remainder of the balance is required 28 days prior to your wedding along with a refundable deposit of £200, this is held until all parties agree that no damage was done during the event and that the venue was returned to its original state. A charge of 5% will be added to an overdue account. If payment of the balance is not received by 7 days prior to the event, then the event will be deemed to have been cancelled by the customer with no monies refundable.
  3. We appreciate that on occasions someone else (such as a parent) may wish to make payments due to us on your behalf. We are happy to accept such payments, but please note that unless we agree otherwise with you in writing you are legally responsible for any payments due to us.
  4. Any breakages and damages to the venue, huts & surrounding area, will be invoiced directly to the couple/booking person after the event.

CANCELLATION BY YOU

  1. If you want to cancel a confirmed booking, you must do so in writing and the provisions in the next paragraph shall apply.
  2. Please note that the initial non-refundable deposit of £500 will be retained as a cancellation fee.

VENUE DETAILS AND REQUIREMENTS

  1. WFE barn seats up to 80 guests. This complies with the health and safety laws & those of the Telford & Wrekin Registry office. Additional guests may stand in this space as it is open and easy to exit in an emergency. The overall maximum number of guests in the barn venue must not exceed 110 and on the field 150.
  2. All service providers must be approved by WFE prior to booking them. This includes marquee firms, generator firms, caterers, bars and toilet hire. Firms that are not known to the venue can be approved by WFE at their discretion and may be asked to meet the venues owners before they are accepted as service providers. Each service provider must be properly insured and must be able to provide proof of this insurance. There is also a service charge of £50 for any outside service provider, payable by the client.
  3. The moving/arranging of chairs for the ceremony is the responsibility of the clients, if moved from one location to another, returning them to the barn is your responsibility.
  4. Access to the venue’s grounds will be allowed once the marquee (if any) is erected.
  5. Access to WFE if used for the ceremony and/or reception is allowed one day before the wedding and is vacated the following day by 2pm.
  6. The clients must remove all rubbish and bottles by 4pm on the day after the event.
  7. The huts must be vacated by 12 midday, the campsite by 2pm and the venue by 4pm. If the owners have to clean up after any clients, a charge will be added to the final account.
  8. WFE has a zero tolerance policy regarding illegal activities, vandalism and rude and abusive behaviour towards the owner or any of their representatives. Illegal activities will immediately be reported to the police. Rude and abusive guests will be asked to leave the venue and grounds with immediate effect.
  9. WFE is a beautiful private venue with a forest school and campsite. It is anticipated that all guests will treat the entire venue with respect and upon leaving the entire venue is to be returned to its clean & tidy state.
  10. No lighting of fires is allowed except in designated spaces, we are a peatland venue and therefore have a high risk of underground burning.
  11. Well behaved dogs are welcome at WFE, but they are not allowed to be housed within either of the glamping huts.
  12. Smoking is not allowed at WFE except around firepit locations, please be respectful when disposing of cigarette ends due to being located upon peat land.
  13. All children are regarded as the responsibility of the clients and the children’s parents/carers. All children must be supervised at all times, this particularly applies to Forest School. For the safety of children, please ensure that children are not left unsupervised in the WFE’s grounds.

MUSIC AND ENTERTAINMENT

  1. WFE allows amplified music within the barn, which is sound insulated, when a band is being hired, we generally ask that if a disco is desired our system is hired and you provide a playlist. Amplified music may take place between 6-11pm where a Temporary Events Notice has been applied for by WFE, this will occur only when you request it for a band. In all cases where a TEN is not obtained music played must only be played through our speaker and PA system.
  2. All amplified music at WFE must finish by 11pm and guests to vacate the venue and grounds, if not camping, by 12 midnight. Non amplified/acoustic music or silent disco’s may be used after 11pm.
  3. A temporary events notice must be acquired for any event requiring amplified music. The charge for this is £35 and can be arranged by us.
  4. All live bands and discos for entertainment in a marquee in the grounds of WFE are to be approved by the venues owner and will always require a TEN.
  5. All entertainment in a marquee in the venues grounds to finish by 11pm. All guests, if not camping, to vacate the marquee and grounds by 12 midnight.
  6. Fireworks are not permitted under any circumstances.
